Rent roll reconciliation against your executed leases

See where your billing and your executed leases disagree, period by period: each gap with its amount, in the lease’s own currency, and the clause it comes from.

Why your rent roll and your leases drift apart

Call it a rent roll reconciliation or a rent roll audit: the question is whether what you bill each tenant is what the executed lease says you should. The lease is the legal truth. Your billing system (Yardi, MRI, AppFolio, RealPage or a spreadsheet) is what actually goes out to tenants. Every amendment, rent step, renewal and recovery change has to be re-keyed by hand, and over time the two drift apart. The usual gaps:

  • Rent increases never applied, or applied late: a scheduled step nobody keyed in.
  • Base rent billed at the wrong amount after an amendment, renewal or suite change.
  • Recoveries under-billed: CAM / NNN / operating-expense charges below what the lease sets.

It’s rarely anyone’s fault. Nobody owns the consistency between the documents and the ledger, and the gaps recur every month until an audit or a sale surfaces them.

Scope

What a rent roll reconciliation checks

  • Base rent billed against the lease amount, period by period.
  • Scheduled rent steps (fixed or stepped increases) that were missed or applied at the wrong time.
  • Recovery charges the lease sets (CAM / NNN / opex estimates) billed below the lease amount.
  • Leases changed by amendments over time, and multi-suite leases.
  • US, UK and European-style leases with monthly, quarterly or English quarter-day billing, each in the lease’s own currency.

Every period, every suite, to the cent

For each lease and each billing period, you see what the lease says should have been billed, what was billed, and the difference, suite by suite.

Say the lease steps base rent from $10,000.00 to $10,300.00 a month on March 1, 2025, and billing stayed at $10,000.00. Every month from March 2025 then shows a $300.00 difference, and the finding cites the rent-step clause. (Illustrative example, not customer data.)

  • Exact to the cent. Every amount is computed from your lease terms; the same files always give the same answer.
  • Reviewed by people. A person checks every lease fact behind a finding before it reaches you.
  • Evidence on every line. Each finding cites its lease clause and the billed charge it disagrees with.

Getting started

What you send

We set up your billing mapping with you. A column or charge code that isn’t mapped is raised with you, never guessed.

  • Your executed leases and every amendment and side letter.
  • A charge-history export (CSV or Excel) from Yardi, MRI, AppFolio, RealPage, Entrata or a spreadsheet: every billed charge with its charge code, amount, period and tenant / unit.
  • Your charge-code list, so we map base rent, CAM and tax codes correctly.

Why a charge history, not a rent roll?

To reconcile your rent roll against your leases, we use your charge history: every charge billed, period by period. A current rent roll shows only today’s charges; it can’t show when a rent step was missed.

We’ll confirm accepted lease file formats on the kick-off call.

What you get

  • Findings for every lease, in a report per lease: each gap with its amount, period and clause.
  • Anything your documents don’t settle, flagged with the reason — never guessed.
  • A walkthrough of every finding with its evidence; you decide what to act on.
  • Findings that refresh after each billing import, and a fresh comparison of every lease whenever you ask for one.

You stay in control

  • We never touch your accounting system — you decide what to re-bill.
  • Every finding is evidence your team and counsel can check clause by clause.
  • Read-only and file-based: no credentials to your systems.
